Plastic Cards - Mailing List Guidelines

You do not have to use one of our mailing lists. If you currently have a customer list that you would like to use, we will be happy to certify and process that list for you. Once you submit your database propertly formatted in an Excel spreadsheet, it will be run through CASS and NCOA certification for postal verification. CASS stands for Coding Accuracy Support System, which makes sure that your list is accurate and to the standards of the USPS. NCOA is the National Change Of Address that ensures you reach the maximum number of customers on your list.

Below you will find a detailed explanation on how to properly submit your database for mailing processing. Prevent delays and extra charges by following these guidelines very closely. We ONLY accept lists in an Excel spreadsheet. Make sure that all records are contained in their own row. Individual records per individuals/businesses should be in separated fields in the same row.

Mailing Guidelines

Your Excel Spreadsheet

Please send your Excel sheet in the format shown below:
  • Name (First, Middle, Last) *Required
  • Title (Sales Associate, President, etc.)
  • Company
  • Address (Valid Address) *Required
  • Address 2 (Second Line of address, suite, apt #, etc.)
  • City *Required
  • State *Required
  • Zip (preferrably 9 digit but 5 is acceptable) *Required
*We will not reformat your list for you only review for basic format and return to you if not to our specifications which may result in delays in your order.

**Please make sure all required fields are represented in your spreadsheet.

Lists Will be Standardized

All lists will be automatically standardized according to USPS guidelines:
  • All information will be capitalized (Bill Morgan becomes BILL MORGAN)
  • All punctuation will be removed (BILL MORGAN JR. becomes BILL MORGAN JR)
  • Where applicable, abbreviations will be used (AVENUE becomes AVE)

**When the Plastic Card Center certifies your list, it will standardize it for you but will not create mailable addresses from incomplete or improperly formatted information.
